Volunteer Guidelines
Objectives
These guidelines describes the code of conduct, procedures
and policies for India Fest volunteers. These procedures will help volunteers
provide a caring atmosphere of safety, spirit and family values to the
all India Fest visitors.
Nuv Yug welcomes students 14 or older and adults to volunteer at India
Fest. All volunteers will receive a certificate for their work upon
request. Nuv Yug's objective is to provide a fun environment to all
volunteers to help them create everlasting memories combined with event
management experience.
Procedures and Policies
Arrive timely and well-rested

Plan carefully to arrive 15 minutes before your assigned
time slot. Take into consideration some unexpected delays on the road.

Volunteers assigned longer than four hour shifts are
requested to get a good night sleep the night before. This will help
you give full attention to your job duties.

In case of sickness, inform Nuv Yug about your unavailability
at the earliest opportunity.
Understand your responsibility

Understand the shift assigned before accepting the
responsibility. If the responsibility assigned is not clear, discuss
with the Volunteer Coordinator at Nuv Yug's booth and seek clarification.

Follow instructions from the Volunteer Coordinator.
If you think you have a better idea, feel free to share with him or
her. However, please do not engage in arguments.

Do not leave your assigned position unattended. If
you must leave for a short period of time, ensure that some other
volunteer is filling in during your absence.

If you spot any child roaming around unsupervised
and not with his/her group, please bring the child to the announcement
desk immediately. The announcement desk is located between the stage
and Nuv Yug's booth.

If you notice that some activity, planned or unplanned,
is presenting a risk to anyone’s safety, speak out immediately,
stop the activity, and bring it to the attention of the Volunteer
Coordinator. Ensure that everyone will be safe before resuming the
activity.

Always keep a calm demeanor and a firm but kind attitude,
so everyone perceives a caring, involved and respectful atmosphere.

When someone'e life may be in danger due to an accident,
please call 911 and follow the 911 operator's instructions. Inform
the volunteer coordinator as soon as possible.
Description of various shift
duties
-
Store Flyer Volunteer: To place festival flyers at local stores.
Volunteers are provided flyers and are expected to place these flyers at different local stores. Some awareness booths may be setup at popular stores in the area during high traffic weekend hours. This task takes place during weekends in the month of January and February.

State Fair Banner Assistant: To help hang festival banners on the wired fence around the State Fairgrounds perimeter.
May need to climb on a ladder to hang banners, so it is visible from roadside around the fairgrounds.
This task takes place on Sunday afternoon before the festival weekend.

Vendor Setup: To help setup vendor booths, tables
and chairs with appropriate table covers. This task takes place on Thursday or Friday before the festival begins.

Crowd Control: To manage flow of visitors during the peak hours. May be required to guard the VIP section.

Decoration Assistant: To help decorate the stage and surrounding areas.
May need to climb on the ladder to hang articles on the stage backdrop.
This task takes place on Thursday or Friday before the festival begins.

Exhibition Setup: To help setup the Exhibition. This task takes place on Thursday or Friday before the festival begins.

Stage Coordinator: Ensure that
performing groups are ready to go on the stage as soon as the previous
item ends. One of the coordinators sits at the top of the staircase
to the stage and communicates with a Music Coordinator via a headset.
This Coordinator must have a clear view of the sound desk.
- Music Coordinator: Ensure that the correct sound
track is ready to play and needed microphones have been enabled and
ready to go for the performance. The Music Coordinator will have a headset
on and communicate with the Stage Coordinator and the sound technician. Please note that this role requires one to bring their own laptop which they will use to play music. The laptop should be able to play mp3 files from a local folder.
- Exhibition Docent: To guide festival visitors and
provide them information regarding exhibition articles and narratives.
- Welcome Reception: To greet visitors at the entrance
and distribute the program book. These volunteers also sign in participants and complimentary pass holders.
- Feedback Survey: To randomly invite festival visitors to take the online feedback
survey. This task requires volunteers to bring their own wireless enabled laptop. Nuv Yug provides a keyboard and a mouse which will be used by survey takers to protect volunteer's computer from being touched by other people.
- Nuv Yug's Booth: To coordinate other volunteers,
sort performer trophies, act as substitute for absent volunteers and any other tasks assigned at the booth.
- Teardown Assistant: To help teardown and remove setup and decoration items.
May need to climb on the ladder to remove articles on the stage backdrop.
Some volunteers will be required to remove State Fair banners around fairgrounds fence. This task takes place immediately after the festival ends on Sunday evening.
